For adventure and outdoor operators

Booking software for adventure activities

Tourandi is booking software for canyoning, kayaking, climbing, rafting and multi-activity operators. Take bookings online against live capacity, assign kit, minibuses and instructors to each session, decide in good time whether a trip has enough people, and know every participant's size and experience before you set off.

  • Kit as resources
  • Minimum numbers per session
  • Questions per participant

The day-to-day

What makes running outdoor activities hard

In adventure, selling places is only half the job: every session needs kit, instructors and the right conditions. These are the problems that eat most of your time.

  • 01

Not enough kit to go round

You sell twelve canyoning places, then find out in the morning there are only ten wetsuits in the right sizes, or the big minibus is already out on another trip. Your real capacity is set by your kit, not your website.

Add wetsuits, helmets, kayaks and minibuses as resources with their capacity, assign them to each session or group, and see at a glance what is still free.

  • 02

    Sessions below the minimum

With two people booked it does not pay to send out an instructor and a vehicle. Deciding the night before, ringing each customer and moving them to another day takes the whole evening.

Set a minimum number of participants and a decision time per option. Tourandi can cancel the session for you and email each customer in their own language.

  • 03

Groups too big for one instructor

A gorge or a via ferrata has a maximum ratio of participants per instructor. If the whole session sits in one block, someone ends up splitting groups by hand in the car park.

Split the session into groups with a maximum size and a meeting-point note, and put an instructor on each. Offer the session and the instructor accepts it on their phone.

  • 04

Customers turn up without key details

Sizes, experience, whether they can swim: if you do not ask when they book, you find out at the meeting point, with the kit already loaded and the group waiting.

Add questions to the booking form, once per booking or for each participant, and make them required. The answers show on the session's guest list.

How Tourandi helps

Built for sessions with kit, instructors and conditions

The three parts of Tourandi adventure operators use most, from the booking to the day itself.

Resources

Kit and vehicles assigned to every session

Each set of wetsuits, helmets, kayaks or each minibus is a resource with its own capacity. Assign it to a session or to a specific group and see how much is in use against what you own. If a vehicle or a box of helmets is spare, you know before you load up.

  • Vehicle, equipment and other resource types
  • Each resource's capacity against people booked
  • Assigned per session or per instructor group

Today panel

Spot the sessions that are below minimum

The Today panel brings every session of the day together with its occupancy and flags what needs attention: a session below its minimum, another with no instructor, one that is nearly full. You decide in time, before customers leave home.

  • Minimum participants with a decision deadline
  • Optional automatic cancellation with an email to customers
  • Waiting list when a session sells out

Booking form

Every participant's size and level, before you leave

Add the questions you need to your booking widget: wetsuit size, experience level, or a required tick box confirming they can swim. Ask once per booking or for each participant; customers cannot book without answering the required ones.

  • Text, drop-down, tick box or date questions
  • Asked once per booking or per participant
  • Answers shown on the session's guest list

A day with Tourandi

A canyoning day, step by step

This is a peak-season Saturday when bookings, kit and team all live in one system.

  1. 07:30

Check the day on the panel

You open the Today panel: three sessions, one nearly full and another with a group that has no instructor. You offer that group to two instructors and the first to accept is assigned.

  2. 08:00

    Load kit from the answers

The guest list shows each participant's wetsuit size and experience. You load exactly the sets you need and assign the minibus with enough seats for the group.

  3. 09:00

    Check-in at the meeting point

The instructor ticks people off the list on their phone, by name or reference, and adds a couple who turn up without a booking. Capacity updates straight away.

  4. 13:00

    Conditions change for the afternoon

A storm is forecast for the 16:00 session. You cancel it with a reason and every customer gets an email in their own language.

  5. 19:00

    Close-out and the day's takings

Each instructor closes their session with a final headcount. You review desk payments, deposits taken online and the occupancy report without opening a spreadsheet.

FAQ

Questions about Tourandi for adventure operators

What outdoor and adventure businesses usually ask us before they start.

Can I keep track of kit and vehicles in Tourandi?

Yes. You add wetsuits, helmets, kayaks, bikes or minibuses as resources, each with its own capacity, and assign them to a session or to a specific group. You can see which kit is committed each day and what is still free, so you never sell more places than you can equip.

What happens if a session doesn't reach the minimum number?

You set a minimum number of participants and how many hours before the start the decision is made. You can check it yourself on the Today panel, which flags sessions below their minimum, or switch on automatic cancellation: at the decision time Tourandi cancels the session and emails each customer in their own language.

Can I ask for sizes, experience or swimming ability when people book?

Yes. You add custom questions to the booking form, as text, drop-down, tick box or date fields, for a whole activity or a single option. Ask them once per booking or for each participant, and make them required if you need to. The answers appear next to each booking on the session's guest list.

Does Tourandi handle signed waivers?

No. Tourandi does not include waiver forms or digital signatures. You can use booking-form questions to collect the details you need in advance, such as experience level or a specific confirmation, and keep handling the signed document through your current process.

How do I cancel a session because of the weather?

Open the session, choose cancel and add a reason. Tourandi cancels all its bookings and emails each customer in the language they booked in. If you took payment online, you handle refunds from each payment. You can also close whole dates in advance when you know you will not be operating.
