For free walking tours

Booking software for free walking tours

Tourandi puts bookings from your own website and the free-tour platforms into one shared capacity, works out what you owe each platform per attendee, splits busy departures into groups with a guide each, and closes the day with the real headcount and declared tips.

  • Tip-based, £0 tickets
  • Per-attendee fees worked out
  • Groups and guides per departure

No per-booking fee on free tours: you only pay the subscription

Tourandi only takes a commission on paid bookings made directly through your website or widget. Free bookings, like free-tour places, never pay it, and neither do bookings from the office, OTAs, resellers or free-tour platforms.

Running a free tour

What makes free tours hard work

A free tour charges no ticket price, but it still pays the platforms, the guides and the office's time. This is where the money leaks out.

  • 01

    Every platform charges per attendee

GuruWalk and FreeTour.com bill per person booked, each at its own rate. When the headcount lives on paper, you end up paying for people who never turned up, or not knowing what you owe until the invoice lands.

Each platform is a channel with its own fee rule. Tourandi works out the fee per booking and corrects it with the real attendees when the departure is closed.

  • 02

    No-show refunds nobody claims

With a free tour, a share of bookers never appears. Some platforms refund the fee for no-shows, but only if you claim within their window, and nobody in the office has time to chase it.

Flag which channels refund no-show fees and their claim window. Tourandi shows the amount to claim and the deadline, departure by departure.

  • 03

    Overbooked squares or empty spots

Sell exactly to capacity and the no-shows leave gaps. Oversell without control and one Saturday you have sixty people waiting for a group of forty on the steps.

Set an overbooking allowance per option and switch on the waitlist. Nothing is confirmed beyond the selling limit, even when bookings arrive at the same moment.

  • 04

Tips and guide pay in spreadsheets

Every guide is paid differently: per tour, per attendee or a cut of the tips, and sometimes the guide owes the company per head. Reconciling it at month end eats whole afternoons.

Guides declare their tips when they close the departure, and Tourandi applies each guide's pay rules to build the settlement, whichever way the money flows.

How Tourandi handles it

Built around free-tour economics

Three parts that work together: channels with their fees, groups with their guide, and a check-in that closes the departure with real numbers.

Channels and fees

Every platform sells from the same capacity

Your website, the office, resellers and the free-tour platforms all sell the same departure. Each booking carries its channel and its fee, and the capacity bar shows where every seat came from. Platform bookings go in within seconds by pasting their confirmation email.

  • GuruWalk and FreeTour.com as ready-made channels
  • Fees per attendee, as a percentage or fixed
  • Warning when a platform reference already exists
See the channel manager

Groups and guides

Split a busy departure into guided groups

When a departure outgrows one manageable group, split it into groups with a maximum size and a meeting-point note. Assign a guide to each, or offer a group to several guides so whoever is free accepts it from their portal.

  • Maximum size per group, never exceeded
  • Guides accept or decline offered departures
  • Alert on the Today screen when a guide is missing
See operations management

Check-in and close-out

The real headcount, from the guide's phone

At the meeting point the guide ticks arrivals off the list by name or reference, adds anyone who joins without a booking and closes the departure. That headcount corrects platform fees, feeds settlements and records the tips declared.

  • Check-in from the list, by name or reference
  • Walk-ins added in one tap
  • Tips in cash, card or other

A day with Tourandi

A Saturday of free walking tours with Tourandi

This is what a high-season day looks like when everything runs through one system.

  1. 08:30

    The office checks Today

The day's departures, people per departure and what needs attention: one departure nearly full, one group without a guide. Overnight platform bookings are already in, each with its channel.

  2. 09:15

    Groups are shared out

The 11:00 departure is past forty people. It is split into three groups, and the unassigned one is offered to two guides, who accept from their phones.

  3. 10:40

    Last-minute quick add

Two more confirmations arrive from a platform. Paste the email, Tourandi fills in the booking and counts it against capacity. If it is already there, you get a duplicate warning.

  4. 11:00

    Check-in at the meeting point

Each guide ticks off their group on the phone list and adds the people who join on the spot. The office sees arrivals as they happen.

  5. 13:30

    Close-out and tips

The guide closes with the final headcount and declares their tips. Platform fees adjust to the real attendees, and claimable no-shows are flagged for the office.

FAQ

Questions about Tourandi for free walking tours

What free-tour companies usually ask us before they start.

Can I create free tours with £0 or €0 tickets?

Yes. In Tourandi a free tour uses tip-based pricing: tickets cost nothing and the booking simply secures the place. You can still have ticket types such as adult or child, limits per booking and a waitlist when a departure fills up, exactly as with a paid tour.

Does Tourandi charge a commission on my free-tour bookings?

No. Tourandi only charges a commission on paid bookings made directly through Tourandi: your website, widget or booking page. A free-tour booking has no price, so it never pays commission, and neither do bookings from the office, OTAs, resellers or platforms like GuruWalk. If you only run free tours, you pay just the monthly subscription.

Does Tourandi connect automatically to GuruWalk or FreeTour.com?

There is no direct connection to those platforms. You set them up as channels with their fee and add their bookings with quick add, pasting the confirmation email so Tourandi fills in the details. If you work with Turitop, bookings that come through it flow in automatically with the sync.

How does Tourandi work out platform fees?

Each channel has its own rule: an amount per attendee, a percentage of the total or a fixed amount per booking. Tourandi calculates the fee when the booking is made and corrects it at close-out with the people who actually came. If the platform refunds no-show fees, it shows how much to claim and by when.

Can I split one departure into several groups with different guides?

Yes. A departure can be split into groups, each with its own maximum size, meeting-point note and guide. You can assign the guide directly or offer the group to several guides so they accept it from their portal. The Today screen flags any group still without a guide.

How are tips and guide pay handled?

When the departure is closed, the guide declares tips received in cash, by card or otherwise. Using each guide's pay rules, per tour, per attendee, per hour or a percentage of tips, Tourandi builds the settlements, including amounts the guide owes the company.
