For boat and water operators

Booking software for boat and water activities

Tourandi is booking software for boat trips, kayaking and water activities: sell every sailing against the real capacity of each vessel, cancel a sailing when the wind picks up and tell everyone in their own language, and take payments online into your own account.

  • Seats per vessel
  • Several sailings a day
  • Cancel and notify in one step

Life on the quayside

What makes selling boat trips hard

On the water, capacity is set by the boat and the calendar is set by the weather. Your booking system has to work with both.

  • 01

The boat has the seats it has

A 45-seat catamaran can't take a 46th passenger, and a 12-seat RIB can't either. If a sailing's capacity isn't tied to the vessel running it, any change of boat ends in overbooking.

Add each vessel as a resource with its capacity, assign it to the sailing and set the sailing's capacity to match the boat. Tourandi never confirms bookings beyond that limit.

  • 02

Several sailings a day, all different

Morning cruise, midday trip, sunset sailing with a glass of cava. Each has its own time, price and season, and in summer you double up while in winter you only go out at weekends.

Schedules generate every sailing of the day. Set seasonal prices and close whole dates when the harbour or the season calls for it.

  • 03

    The wind changes the plan

The harbour master warns of strong wind at eleven and you have 34 people on the five o'clock sailing. Ringing them one by one, in three languages, then refunding them takes the whole afternoon.

Cancel the sailing with a reason and Tourandi cancels every booking on it and emails each customer in their language. Refunds are recorded against each payment.

  • 04

Guests who book and don't turn up

In high season, an unpaid booking that doesn't show is an empty seat on a boat that went out full. And private charter requests arrive by email without a clear price.

Take full payment or a deposit at booking through your own gateway. Private sailings can be on request: the customer asks, you send a quote, they accept.

How Tourandi helps

Vessels, weather and payments in one system

What really matters for a water-based business: which boat runs each sailing, what happens when you can't go out, and how the money comes in.

Vessels

Every boat, with its capacity and its sailings

Set up your vessels as resources with their seats and assign them to the day's sailings. You see how many people each sailing carries against the boat's capacity, and which vessel is free to open another sailing or take a private charter.

  • Resources with capacity, assigned to each sailing
  • Several sailings a day from a single schedule
  • Limits per ticket type on the same sailing

Bad weather

Cancel a sailing and tell everyone

When the weather won't let you go out, you cancel the sailing and give the reason. Tourandi cancels every booking on it and sends each customer an email in their language explaining why. If you'd rather not cancel everything, close the sailing to new bookings or cancel only the bookings you pick.

  • Email notice in the language of each booking
  • Close whole dates for the season or a storm
  • Refunds recorded against each payment

Payments and vouchers

Take payments online, into your own account

Connect Stripe or Redsys and the money from every booking goes straight to your account. Take full payment or a deposit, sell gift vouchers for a sunset sailing, and record cash or card-terminal payments on the pontoon against the same booking.

  • Fixed or percentage deposit per option
  • Gift vouchers with a code and balance
  • Group, early-bird and last-minute discounts

A day at the harbour with Tourandi

From the first sailing to the last mooring

This is what a high-season day looks like when bookings, boats and payments live in one place.

  1. 08:30

    The day's plan, first thing

The Today screen shows every sailing: occupancy per boat, sailings nearly full, one below its minimum and which vessel is free if you need to add another.

  2. 10:00

    Boarding with check-in

Your crew ticks off each booking on the phone list, by name or reference, on the pontoon. Walk-ins are added if there are seats left and pay on the spot.

  3. 11:15

    Wind warning for the afternoon

The harbour master warns of strong wind. You cancel the 17:00 sailing with the reason and every customer gets an email in their language. The morning sailings carry on as planned.

  4. 14:00

    A private charter request

A family asks for a boat to themselves on Saturday. You send them a quote from Tourandi; once they accept, a private sailing is created that takes no other bookings.

  5. 20:30

    Close-out and cash-up

You close each sailing with the final headcount. The cash-up report separates cash, card terminal and online payments, and the refunds from the cancelled sailing are on record.

FAQ

Questions about Tourandi for water activities

What boat and water-sports operators usually ask us.

Can I cap bookings at each boat's capacity?

Yes. Each vessel is added as a resource with its capacity and assigned to the sailing it runs. The sailing's capacity is whatever you set, and Tourandi never confirms a booking above the selling limit, even when several arrive at once from your website, the office and other channels.

What happens if I have to cancel a sailing because of the weather?

You cancel the sailing from the dashboard and give the reason, such as strong wind. Tourandi cancels every booking on it and emails each customer in the language of their booking. Refunds are made from each payment and recorded. Tourandi doesn't connect to weather services: the decision to go out is always yours.

Can I sell private charters?

Yes. You can set up an on-request option: the customer sends a request from your website, you reply with a quote and, once they accept, Tourandi creates a private sailing that takes no other bookings. You can also give the private sailing a fixed price if you'd rather sell it straight away.

How do I handle high and low season?

Schedules generate your sailings by day of the week and time, and you can set different prices for each season. When you aren't going out, close whole dates so nobody can book them. Automatic early-bird or last-minute discounts help fill quieter sailings.

Does the money from bookings go to my account?

Yes. You connect your own Stripe or Redsys account and online payments go straight into it. You can take full payment or a deposit at booking. Anything collected at the harbour, in cash, by card terminal, Bizum, bank transfer or PayPal, is recorded against the same booking and shows up in the cash-up report.
