Team and guides

Tour guide and team management

Tourandi organises your team around departures: guides set their availability, accept the departures you offer them and see their schedule and statements in their own portal. You manage licences, pay rates, tips and permissions from the same dashboard you sell from.

  • Guide portal on mobile
  • Two-way statements
  • Roles and permissions

What it solves

Coordinate guides without a group chat

Managing guides at a tour company means knowing who can work each day, assigning each departure to the right person and paying what's due at the end of the month. With spreadsheets and messages, every last-minute change means calling round and every statement gets checked twice.

In Tourandi each guide sets their availability by time slot in a single calendar, even if they work for several companies. When you assign a departure, Tourandi suggests who is available and speaks the language, and warns you if their licence expires before the date. You can assign directly or offer the departure for the guide to accept.

Pay is defined as rules (per tour, per attendee, per hour or a share of tips) and statements are generated from closed departures, in both directions: what the company pays the guide and what the guide owes the company.

Managing guides by hand

  • You message round to find who can cover each departure
  • An expired licence shows up when it's already a problem
  • You work out pay and tips in a spreadsheet nobody else understands
  • Guides don't know what they're owed until you tell them

With Tourandi

  • Availability by time slot in a shared calendar
  • Suggestions by availability, language and licence
  • Statements generated from closed departures
  • Every guide sees their schedule and balance in their portal

How it works

From assignment to statement

Each guide's work is recorded departure by departure, and the numbers follow from there.

Availability and assignments

Assign or offer each departure to someone who can do it

When you assign a guide, Tourandi shows who is available in that slot, which languages they guide in and whether their licence is valid for that tour on that date. Confirm them directly or offer the departure: the guide accepts or declines from their portal and you see it straight away.

  • Availability by morning, afternoon and evening
  • Dates blocked for one specific company
  • Assign today's and tomorrow's unguided departures from Today

Pay rates and statements

Statements that explain themselves

Set pay rules per guide or for the whole company, per tour or for all of them: an amount per departure, per attendee present or per hour, amounts the guide owes the company per attendee, or a percentage of their tips. Each period's statement comes from closed departures and the rules in force on each date.

  • Two-way balance: who pays whom
  • Manual adjustments with a description
  • Once approved it gets a number and is frozen

Roles and permissions

Everyone sees what they need

Invite your team by email with a role. Owner and admin see all of operations; office handles bookings, calendar, assignments and check-in without touching prices or settings; guides see only their schedule and statements; and agents or resellers only their own bookings.

  • One login to work with several companies
  • History is kept even if you revoke access
  • Audit log for owners and admins

FAQ

Questions about team and guides

How guides are organised and how their pay is worked out.

Do guides need to install an app?

No. The guide portal runs in the phone's browser. Guides sign in, see their schedule, accept departures, check guests in and look up their statements.

Can a guide work for several companies?

Yes. With one login they see the schedule of every company that invites them, set their availability once and can block dates for just one of them. Each company only sees its own departures.

How are guide statements calculated?

From the period's closed departures, the actual attendees, declared tips and the pay rules in force on each date. Each line shows the rule applied. Once approved, the statement gets a number and doesn't change even if you edit the rates later.

Does it work for free tours where the guide pays the company?

Yes. Rules can go either way: an amount per attendee the guide owes the company, or a percentage of declared tips. The statement works out the balance and says who pays whom.

Can I keep track of guide licences?

Yes. Record each guide's licence with its region and expiry date. Tours that require one only suggest guides with a valid licence on the departure date, and the Today screen flags licences about to expire.

What can each person on my team see?

It depends on their role. Admins see all of operations and settings; office staff see bookings, calendar, assignments and check-in, without prices or settings; guides only their schedule, departures and statements; and agents only their own bookings.
