For day-trip operators

Booking software for day trips

Tourandi is booking software for day-trip operators: sell every departure on your website, on OTAs and through hotels and agencies from one shared capacity, assign minibuses and coaches with their seats, split the party by language and know first thing who is boarding which vehicle.

  • Seats per vehicle
  • Groups by language
  • Hotels and agencies built in

Running day trips

What makes day trips hard to sell

A day trip moves vehicles, guides and languages all at once. When bookings live in several places, the mistake shows up at 8am at the meeting point.

  • 01

More bookings than seats on the coach

You sell on your website, on an OTA and through two hotels. Each channel keeps its own count, and nobody knows how many seats are really left until someone reconciles the spreadsheet, usually too late.

Every channel draws from the same capacity in real time. Tourandi never confirms a booking above the selling limit you set.

  • 02

    Vehicles allocated from memory

The big coach is going to the Cotswolds, the two minibuses to the coast and one is spare. That lives in the ops manager's head or a group chat, not in the system where bookings arrive.

Add your vehicles as resources with their seats and assign them to each departure or group. You see at a glance what is full and what is free.

  • 03

    Several languages on one departure

The same trip carries Spanish, English and French speakers. They need splitting into groups, each guide needs their own list, and nobody should be left waiting at the wrong meeting point.

Split the departure into groups with a maximum size, a meeting-point note and one guide each. Every guide sees only their own guests on their phone.

  • 04

    Departures below the minimum

A coach with six people on board loses money. Deciding whether it runs, telling customers and refunding what was paid is done by hand, often the night before and in a rush.

Set a minimum number of participants and a decision time. Tourandi can cancel the departure automatically and email each customer in their own language.

How Tourandi helps

Vehicles, guides and channels in one system

The three moving parts of a day trip, joined up: who rides in which vehicle, with which guide, and which channel each booking came from.

Vehicles and resources

Every vehicle, with its seats and its departure

Set up your minibuses and coaches as resources with their capacity and assign them to the day's departures. Tourandi shows how many seats each group takes against the vehicle's capacity, and which resources are still free for an extra departure or a private group.

  • Vehicle, equipment or other resources, each with capacity
  • Assign per departure or per group within it
  • A daily view of what is allocated and what is free
See operations management

Groups and guides

One group per language, one guide per group

Split a large departure into groups by language or vehicle, each with its own maximum size and meeting-point note. Offer the group to your guides: the first to accept in their portal is assigned and it disappears for everyone else.

  • Options per guiding language and start time
  • Departure offers that guides accept or decline
  • Check-in by name or reference on the guide's phone

Channels and resellers

Your website, OTAs and hotels on one capacity

Day trips sell heavily through third parties. Give hotels, agencies and concierges their own reseller login so they book and see only their own bookings, and set up OTAs as channels with their commission. Everything draws from the same seats.

  • Commission per channel worked out on every booking
  • Reseller logins with a cut-off for changes
  • Quick add by pasting the platform's confirmation email

A day trip with Tourandi

From the night before to the coach getting back

This is what a full-day trip looks like when bookings, vehicles and guides live in one place.

  1. 19:00

The night before, all squared away

You check tomorrow on the Today screen: occupancy per departure, groups by language, vehicles assigned and guides confirmed. If a departure is below the minimum, the call is already made and customers have been told.

  2. 07:45

    Every guide has their list

Guides open their portal and see their group, the assigned vehicle and the meeting point for their option, pinned on the map. No printed lists, no forwarded screenshots.

  3. 08:15

    Check-in at the meeting point

They tick off each booking on the phone list, finding it by name or reference. Walk-ins are added on the spot and the vehicle's occupancy updates by itself.

  4. 08:30

    Last seats, no overselling

As the coach fills up, a hotel tries to book two more seats. If they don't fit, Tourandi won't confirm them; with a waitlist switched on, they are kept in line in case someone cancels.

  5. 19:30

    Closing out the departure

The guide closes the departure with the final headcount. Each channel's commission is worked out, and the occupancy and cash-up reports already include the day.

FAQ

Questions about Tourandi for day trips

What day-trip operators usually ask us before they start.

Can I track the seats on each minibus or coach?

Yes. You add each vehicle as a resource with its capacity and assign it to a departure, or to a group within a departure. Tourandi shows how many people each one carries against its seats and which vehicles are free that day, so you can open another departure or take a private group without cross-checking by hand.

Does Tourandi handle hotel pickups?

Not today: Tourandi does not manage pickup routes. It works with meeting points instead. Each option of the trip has its own meeting point, with text and a map pin, and each group can carry its own meeting note. Customers get it in their confirmation and guides see it in their portal, in the language of each booking.

How do I run one departure with guests speaking different languages?

You can create one option per guiding language and start time, or split a single departure into groups with a maximum size and one guide each. Every guide sees only their group on their phone and checks guests in there. Customer emails go out in the booking's language, and the booking site is available in English and Spanish.

Can hotels and agencies book directly?

Yes. You invite hotels, agencies or concierges as resellers: they log in with their own access, see the catalogue, create bookings and can only view, change or cancel their own, up to the cut-off you set. Their bookings draw from the same capacity as your website and OTAs, and each channel's commission is worked out automatically.

Can I take a deposit when a day trip is booked?

Yes. For each option you choose whether customers pay in full online, a fixed or percentage deposit, or on the day. Online payments go to your own Stripe or Redsys account. Anything collected at the meeting point, in cash, by card terminal, Bizum or bank transfer, is recorded against the same booking.
