Booking software for guided tours

Tourandi sells your guided tours on your website, at the desk and through resellers, with a time slot and meeting point for each guiding language. Your guides accept departures from their phone and check the group in before setting off.

Running guided tours

What makes guided tours complicated

One route quickly becomes dozens of departures: languages, times, private groups and guides who are not always free.

  • 01

One route, many languages and times

The 10:00 in Spanish is not the 10:00 in English: a different guide, a different group, sometimes a different starting point. Managing them as separate products multiplies the admin and the mistakes.

Each tour has options per guiding language and time, each with its own capacity, tickets and meeting point. Customers pick theirs and you see everything on one calendar.

  • 02

    Rotas sorted by text message

Asking each guide who can do Thursday, waiting for replies, then copying it all somewhere else. When someone drops out you find out late, with no idea who is free.

Guides set their availability and receive offered departures they accept or decline in their portal. The Today screen flags any departure still without a guide.

  • 03

Guests waiting in the wrong square

When the meeting point depends on the option, someone always ends up at the other corner. The guide spends ten minutes phoning round and the tour starts late.

Each option can carry its own meeting point, with text and a map pin, and customer emails go out in the language of their booking.

  • 04

    Private groups negotiated by email

Schools, companies and families ask for a tour of their own, with a bespoke date and price. Between quotes and changes, the thread gets buried in the inbox.

On-request options collect the enquiry, you send the quote from Tourandi, and once the customer accepts it a private departure is created.

How Tourandi handles it

From booking to meeting point

Sell every language and time without duplicating products, coordinate your guiding team and start on time with the whole group.

Booking widget

Customers book language and time on your site

Paste one line of code and your website shows the tour with its calendar, time slots and ticket types. Customers see which days still have space, get a last-seats nudge and book from their phone in English or Spanish.

  • Live availability for every time slot
  • Adult, child and infant tickets without a seat
  • Your brand colours through the visual editor

Team and guides

One group per language, each with its guide

Split the departure into groups by guiding language, each with a maximum size and a guide. If a group has no guide yet, offer it to several so whoever is available accepts. Every guide sees their schedule on their phone or in their own calendar.

  • Guide availability by day and time of day
  • Offered departures guides accept or decline
  • Personal iCal feed for each guide

Check-in

Take the register at the meeting point

Before setting off, the guide opens the departure on their phone, ticks each booking off the list by name or reference, and sees who is still missing. Anyone joining without a booking is added in one tap, and the office sees it straight away.

  • Group list with channel and party size
  • Departure list searchable by name or reference
  • Close the departure with the final headcount

A day with Tourandi

A day of guided tours with Tourandi

Three languages, several times and a team of guides, coordinated from one system.

  1. 08:00

    Every guide sees their schedule

Guides open their portal and see the departures they have accepted, with time, language, meeting point and people booked. Those who prefer it already have it in their phone's calendar.

  2. 08:45

    The office reviews the departures

The Today screen shows occupancy for every time slot. The 10:00 French group still has no guide, so it is offered to the two guides who speak French and one accepts.

  3. 09:30

    Last-minute bookings

Bookings keep arriving from the website and resellers until the cut-off you have set. All of them draw from the same capacity, so there are no double bookings.

  4. 10:00

    Check-in at the meeting point

Each guide checks in their group on their phone, by name or reference. Guests are in the right place because their confirmation showed the meeting point for their option.

  5. 12:15

    Close-out and settlement

The guide closes the departure with the final headcount. Their hours or attendees are recorded for the month-end settlement, with no sums redone by hand.

FAQ

Questions about Tourandi for guided tours

What guided tour companies usually ask us before they start.

How do I sell the same tour in several languages?

Every tour has options, and each option has its own guiding language, time, capacity and ticket types. The 10:00 in Spanish and the 10:00 in English are sold separately, with their own group and guide, yet they appear together on your calendar and on your booking site.

Can guides accept or decline departures?

Yes. With departure offers switched on, new assignments reach the guide as offered and they accept or decline them in their portal. Guides also set their availability, and the Today screen alerts you to any departure or group still without a guide.

Can each option have its own meeting point?

Yes. The tour has a general meeting point and each option can set its own, with text in each language and a pin on the map. Customers receive it in their confirmation and voucher, and the guide sees it in their schedule.

How do I handle private groups?

Create an on-request option. The customer sends an enquiry with the date and group size, you reply with a quote from Tourandi, and once they accept a private departure is created that takes no other bookings. You can also enter the booking directly from the office if you prefer.

Can hotels and agencies sell my tours?

Yes. You can give resellers and agents their own login: they browse the catalogue, create bookings and only see their own. Each reseller is a channel with its own commission, and their bookings draw from the same capacity as your website and your desk.
